What is CenterTrac?
CenterTrac is a comprehensive web-based application for supplemental education services (SES) or tutoring center businesses. The system greatly reduces your administration costs while dramatically increasing your center's efficiency.
How does CenterTrac work?
CenterTrac operates as an ASP or Application Server Provider. Everything for all users is done on the internet through web browsers. You won’t need to install any additional software. Whenever an update is available, you get it automatically. Because everything is on the internet, the system allows you to manage your business from anywhere.
Who can access information through CenterTrac?
Administrators, instructors, parents, and students all have have access to the information they need in order to facilitate the efficient flow of information. And because access is through our secure internet connection, anyone can access their information from anywhere.
What systems or software do I need to run CenterTrac?
All you need is access to the internet and a current web browser. We recommend Firefox, but Internet Explorer or Safari is fine. CenterTrac does not require you have your own server or install any other software.
Does CenterTrac require training?
Simple, yet powerful, CenterTrac is designed to be easy to learn. Your nominal set up fee covers the cost of two training sessions and setup of your center’s data. Technical support is free from that point.
How quickly can my company be up and running?
You can be up and running in a day. CenterTrac is configurable to fit your business practices. A simple questionnaire provides us with the information needed to set-up your CenterTrac account.
Can configure CenterTrac be configured to match my company?
Yes. We understand that each education company has its own way of conducting business. For this reason, we made CenterTrac very customizable. You can configure many aspects of CenterTrac to meet the specific requirements of your company. Our staff is is also available to help you setup the options for your center.
Can I use custom fields in CenterTrac?
Yes. CenterTrac has many customizable fields and choices lists that you may configure to best fit your business.
Can my instructors log sessions from anywhere?
Yes. Because CenterTrac is web-based, your instructors can log tutoring sessions from your a computer at your center or from their own machine when they get home.
Can parents receive emailed reports on their student’s sessions?
Yes. When sessions are logged by an instructor you can have the system email the report to the parent immediately, after an administrator approves the session, or not at all. We have found that parents appreciate being kept informed of their children’s progress.
How can I be assured my data will be kept private?
CenterTrac is committed to keeping your data private and secure. We realize your information is your business and will do everything in our power to keep it available to only those people you see fit. Please read our Privacy Policy for more information.
Is my data secure?
Yes. Our servers are maintained in a class A data facility with no public physical access of servers. Our databases sit behind several layers of firewalls. Our offsite backups are encrypted and only the LearnSpeed founders have the keys. Only our trained support representatives can access your data as required to support your use of the system.
Does CenterTrac ever view or use my data?
Individual records may at times be viewed or accessed for the purpose of resolving a problem or support issue. We will never share any of your information with anybody. Of course, customers are responsible for maintaining the confidentiality and security of their user login and password. You are also responsible for data access by your administrators and instructors.
Can I download a backup of my CenterTrac data?
Yes. At any time you can download an export of your data. These are comma-separated text files that many programs like Microsoft Excel and Microsoft Access are able to read.
Can CenterTrac grow with my business?
Yes. CenterTrac works equally well for small education service providers as for companies with thousands of students. Because it is completely web-based, the system provides access to as many instructors, clients, and students your growing business can add.
Does CenterTrac backup my data?
Yes. In addition to our redundant online database, we automatically backup your data every day. Offsite backups are encrypted and stored on secure servers in several physically different locations so your data is safe from hardware and software failures, hackers and viruses.
Can I export my CenterTrac transactions to QuickBooks?
Yes. CenterTrac provides you with a QuickBooks export function that downloads a special file QuickBooks can import. This file contains the transaction information to create invoices within QuickBooks. With CenterTrac, end of month invoicing takes minutes. Simply download the data, import it into QuickBooks, and print your invoices.

Can I stop using CenterTrac at any time?
Yes. We do not require a contract to become a CenterTrac user...just a user agreement. You pay us monthly for your usage and can quit at any time.
Can I pre-bill my customers with CenterTrac?
Yes. CenterTrac allows both pre-session and post-session billing. For pre-billing, CenterTrac enables session limits and has a countdown feature that warns both parents and administrators when session credits drop below a specified number.
